The duties and responsibilities of a staffing coordinator are quite broad and may vary, depending on the industry category. For instance, if you are applying as a staffing coordinator for a recruitment agency you will be in charge of screening and hiring new applicants, job matching and assigning work schedules for employees. In other companies, the job description could range from being a communications officer to account manager. In a nutshell, it is an administrative position requiring excellent communication, organizational and management skills. What you need to remember as you build a career as a staffing coordinator are the keywords “attention to detail” and “sense of urgency.”


1. Take up a human resources management course or its equivalent at a community college or in a university. You can also search the Internet for online classes on staffing. A HR management course specifically teaches theories and skills you would need for the job, such as staff organization, recruitment, selection, placement and orientation.

2. Equip yourself with basic computer skills, such as word processing and spreadsheet applications. Most of your tasks as a staffing coordinator entail a lot of computer work. You will need to use word processing applications for administrative tasks, such as sending out communication and other documents. Spreadsheet applications are for tasks such as scheduling assignments and time tracking.

3. Gain professional experience by applying for jobs that would allow you frequent interaction with people like being in sales, the human resources department or customer service. These jobs will give you a background on the three major stages in the activities of a staffing coordinator–planning, execution and maintenance.

4. Participate in meetings where you regularly discuss company policies. Give suggestions on how your company can have a healthy working environment. Policy-making and regular corporate meetings are part of the planning stage in staffing. These activities allows you to acquire skills needed to coordinate a staff, such as forecasting human resources, analyzing jobs and formulating programs and policies for the employees.

5. Take part in recruitment and trainings. This is the execution stage of staffing. The skills you gain from this experience will help you in the execution of staffing responsibilities that focus on the acquisition and development of personnel. You will learn how interview job applicants, place them in positions that allow them to use their skills and provide training and development.

6. Get promoted to supervisory level or stay in the position you applied for in Step 3 for three years. Most companies require supervisor-level experience or a minimum of one to three years of staffing experience for an applicant to qualify for the position of a staffing coordinator.

As a supervisor, you are performing tasks in the maintenance phase of staffing. These include basic human resource accounting, performance appraisal and program evaluation.

7. Apply as a staffing coordinator. You can apply internally or at a different company. Prepare a comprehensive resume that highlights related work experiences and skills that qualify you for the position.
